I was talking to a Poppy user last week.

Let's call him Spencer.
Spencer told me that his biggest enemy is having too many ideas sitting on the shelf.
Hundreds of voice memos.
Random thoughts.
And half-finished plans just gathering digital dust.
These scattered ideas are valuable.
But they're useless when you can’t make sense of them down the line.
That's why I built my Second Brain board in Poppy AI.
 
It started out simple; organizing Spencer’s week and household tasks.
 
Then other users showed me what it could really do:
  • Turning messy client calls into ready-to-launch services
  • Converting random product ideas into 12-month roadmaps
  • Transforming podcast notes into viral campaigns
  • Building entire launch strategies from team brainstorms
Same simple system.
Bigger results.

The system only needs two parts to work:

Setting Up Your Board

You've got two options to get started:

Option 1: Quick Start

  1. Create a new board on Poppy titled "Second Brain"
  1. Create two groups and rename them:
    1. Idea Vault
    2. Idea Processor copy the 👆 screenshot 👆 and paste it into Poppy. Add it to this group.
  1. Add a chat box to the board, connect both groups.

Option 2: Custom Setup

  1. Create a new board on Poppy titled "Second Brain"
  1. Create two groups and rename them:
    1. Idea Vault
    2. Idea Processor
  1. Add 5 text boxes to the Idea Processor group: ⚠️ Does the text stay white when you paste it into Poppy? Quick fix at the end of this post!
    1. STEP 1- "CATEGORIZATION PROMPT"
      Analyze new items in the Idea Vault. Categorize each as:
      - Immediate Action
      - Future Project
      - Resource/Information
      - Personal Development
      - Business Strategy
      Provide a brief explanation for each categorization.
      
      STEP 2- "WORKFLOW INTEGRATION PROMPT"
      For each categorized item:
      - Identify related current projects or processes
      - Suggest modifications to existing workflows
      - If it doesn't fit, propose a new workflow or project
      
      STEP 3- "ACTION PLAN PROMPT"
      For 'Immediate Action' items:
      - Break down into specific, manageable steps
      - Suggest a timeline for completion
      - Identify necessary resources or information
      
      STEP 4- "TO-DO LIST CONSOLIDATION PROMPT"
      Review all 'Immediate Action' items:
      - Identify and combine duplicate or similar tasks
      - Prioritize based on urgency and importance
      - Suggest a weekly schedule for efficient task management
      
      PROMPT 5- "MASTER PROMPT"
      0. Analyze all items in the Idea Vault
      1. Use the Categorization Prompt for each item
      2. Apply the Workflow Integration Prompt to each categorized item
      3. Use the Action Plan Prompt for 'Immediate Action' items
      4. Implement the To-Do List Consolidation Prompt
      5. Provide a summary of insights and recommendations
      6. Analyze the effectiveness of this session and suggest improvements to the process/prompts
      Do Not wait for confirmation before proceeding to each step. 
      
  1. Add a chat box to the board, connect both groups.

Here's how I used the board this morning:

  • Dumped in some voice notes about my week into the Idea Vault
  • Added my household to-do list
  • Saved a TikTok with killer marketing tips
I used prompt 5 to make sense of it all. In minutes, it…
  • Sorted everything by importance
  • Spotted tasks that needed extra attention
  • Built me a weekly schedule
  • Even showed me better ways to handle similar weeks in the future
 
The system caught things I would've missed, like how certain tasks depended on others or where I might get stuck.

Things to know:

  • Start with prompt 5: it'll walk you through everything
  • Process ideas whenever works best for you: daily, weekly, for a specific project, whatever fits
  • Add categories to Prompt 1 that match your work (client stuff, content ideas, product plans)
  • Let the system show you connections between your ideas
